Hi Everyone,

 

 

Another good Saturday race last weekend with Melbourne cyclist Scott Gigante taking the honours over Darren Bakker and Jock Brega. Thanks to those who turned up to help as well. Again there will be another race this Saturday, 1.30 for 2pm and with planets aligning and layers of dust removed from my bicycle, hopefully I will have a run as well.

 

The executive had the last of our monthly meetings last night prior to:

 

 

The AGM , to be held at 6 for 6.30pm on Thursday the

9th of August 2012 at the Produce Store.

 

 

As there is no Murray to Moyne presentation  we are hopping straight into business after a few pre meeting nibbles with dinner during/after for those who want to eat.

 

We are very keen to seek feedback from all club members  on any aspect of the club so I ask that in the upcoming weeks you give some thought to things you think the club should be doing and/or things that have worked well.  There will be an opportunity to raise this in special business on the night or in general business for items submitted to myself or Katie Moore prior to July 27th 2012 for inclusion in the Agenda which will be posted on the website shortly thereafter.

 

 

The club has accumulated a moderate amount in the general account and part of the discussion on the night will involve investigating mechanisms for the use of these funds. The executive have formulated proposals for such mechanisms and part of this will involve requests for specific items to spend money on. So again, have a think, and bring your ideas to the meeting.

 

 

As usual, the executive and subcommittee positions will be declared vacant. Over the year, the executive have developed a position and responsibility document which I include below. Have a look at it and consider nominations which can be submitted to Katie or myself or raised on the night. It has been one of the aims of the executive to give full responsibility to the subcommittees for the running of their individual functions and to this end, the road subcommittee has  begun work on next season’s program with the Mountain crew already providing an autonomous program.

Mansfield Mt Buller Cycling Club

Executive and subcommittee responsibilities.

Road:

Take responsibility for the organisation and oversight of road cycling events Including:

  • ·         Create calendar for the year Decide on courses.
    • ·         Apply for permits
    • ·         Devise duty roster
    • ·         Devise commissaire roster
    • ·         Liaise with website manager to post information
    • ·         Coordinate race events – liaise with treasurer with regard to fees, prizes and method of collection and reconciliation. Liaise with commissaires with regard to safety of the event.
    • ·          Liaise with handicapper regarding handicapping aspects.
    • ·         Write report for courier and website. Liaise with MTN bike crew to coordinate report and send to president to send to courier and web manager.
    • ·         Calendars are the Summer series – goes from start to end of daylight saving – Thursday nights.  The Autumn Calendar – goes from the end of Daylight savings to Queen’s Birthday. The Winter calendar – goes from Queens birthday until the Start of the Summer Calendar.
    • ·         Deadlines for development and posting of these calendars will be determined by the subcommittee.

 

Mountain

Social

BMX

  • ·         Develop plan for BMX events and activities including proposed BMX track project.

 

Secretary   (assisted by the Membership secretary)

  • ·         Maintain list of members and contacts
  • ·         Record minutes of meetings and submit to president.
  • ·         collate subcommittee events for construction of general events calendar
    • ·         Determine current requirements for registration
    • ·         Obtain current forms for registration
    • ·         Facilitate registrations on event days

 Treasurer

  • ·         Oversee club finances
  • ·         Produce financial statements for each committee meeting
  • ·         Establish and oversee financial processes and controls
  • ·         Oversee budgeting.

Vice president

  • ·         Coordinate commissaires
  • ·         Coordinate aspects of race safety

President

  • ·         Overall coordination of club function

Public Officer

  • ·         return official associated clubs  form within specified period

Handicapper(Road ) MTN subcommittee may appoint handicapper as needed.

  • ·         Receive race entries and formulate handicaps for  road  race events
  • ·         Tally race points and maintain spreadsheet of results for road events
  • ·         Forward race results to Website manager  for posting on the net.

“Website manager”

  • ·         Maintain website, Facebook and other media.
  • ·         Assemble received information for weekly posts
